NIWPort

Bespoke recruitment platform that replaced three disconnected systems, and all of Zoho, with one tool built around NIW's neuroinclusive hiring process.

NIW is a specialist recruitment company that places neurodivergent candidates into meaningful, sustainable jobs, using a consultant-led process that runs from application through assessment and into early employment. That process didn't map onto generic recruitment software: NIW was running Zoho Forms for applications, Zoho Recruit for candidate tracking, and spreadsheets to stitch the two together, with data rekeyed by hand at every handoff.

I designed and built NIWPort from the ground up: a single Appwrite-backed platform covering job publishing, application review, applicant self-service, and an internal form builder, replacing Zoho entirely.

What we did

Job roles, applications and supporting documents lived across Zoho Forms, Zoho Recruit and spreadsheets, with staff manually exporting and rekeying data between them at every stage of the process.
Problem

Fragmented, manually-synced data across three disconnected systems, with no single source of truth.

Solution

Built one Appwrite-backed data model linking job roles, applications and documents, with role-based access for admins, consultants and applicants, so every handoff happens in the same system instead of over email and spreadsheets.

Zoho Recruit's fixed structure didn't map onto NIW's own process, including merit lists, assessment invites, and locking an application mid-review for a second opinion, while Zoho Forms was expensive for what NIW actually needed: flexible, branded application forms per role.
Problem

Off-the-shelf recruitment software was expensive and too rigid for NIW's neuroinclusive hiring workflow.

Solution

Replaced Zoho Forms entirely with an internal form builder: multi-page flows, 15 field types, conditional visibility, per-flow theming, and an enhanced-privacy mode for sensitive uploads like diagnosis documentation.

Candidate applications routinely include sensitive, GDPR-protected information such as diagnoses and personal documents, and NIW needed to show exactly who accessed or changed what, and when, across the whole application lifecycle.
Problem

No reliable audit trail or GDPR workflow for sensitive candidate data moving between staff and systems.

Solution

Added audit logging on every application and role change, built-in GDPR prompts for data retention and deletion, and an application locking system so a consultant can safely pause a case for review without losing traceability.

The Results

NIWPort is now NIW's system of record for recruitment end-to-end, with Zoho fully decommissioned. Consultants review and progress applications in one place, and candidates get a proper self-service portal instead of an email inbox.

Built with SvelteKit 5 and Appwrite (auth, database, storage and functions), with a Tiptap-based rich text editor for job descriptions and a PDF viewer for info sheets and uploaded documents. Published roles sync automatically to NIW's public careers pages, so a role only needs to be written once.
